Humanised Technology Solutions (Private) Limited ("Company", "we", "us", or "our") operates ravingCRM, a customer relationship management platform for education consultancies, migration agencies, and similar service providers.

This Privacy Policy describes how we collect, use, disclose, and protect personal information through the ravingCRM platform ("Platform"). By using the Platform, you consent to the practices described in this policy.

2. Information We Collect

2.1 Information You Provide

We collect information that Users provide directly, including:

Account Information:

  • Names and contact details (email, phone, address)
  • Business information (company name, registration details)
  • Login credentials

Customer and Client Data:

  • Personal identification details (name, date of birth, nationality)
  • Contact information
  • Passport, visa, and immigration documents
  • Educational records and qualifications
  • Employment history
  • Financial information (where required for visa/immigration applications)
  • Application status and progress notes

Communication Data:

  • Messages and correspondence through the Platform
  • Support requests and feedback

2.2 Information Collected Automatically

When you use the Platform, we automatically collect:

  • IP address and device information
  • Browser type and operating system
  • Usage data (pages visited, features used, time spent)
  • Cookies and similar tracking technologies

2.3 Sensitive Personal Information

The Platform may process sensitive personal information including:

4. Data Sharing and Disclosure

4.1 Within the Platform

  • Consultancies can access Team Member, Agent, and Customer data within their account
  • Agents can access data of Customers they have referred
  • Customers can view their own data and application status

4.2 Service Providers

We use third-party service providers who process data on our behalf, including:

  • Cloud hosting providers (Microsoft Azure)
  • Email delivery services
  • Analytics providers
  • Support and communication tools

These providers are contractually bound to protect your information and use it only for specified purposes.

4.3 Legal Requirements

We may disclose information when required by law or to:

  • Comply with legal process or government requests
  • Protect our rights, privacy, safety, or property
  • Enforce our Terms & Conditions

4.4 Business Transfers

In the event of a merger, acquisition, or sale of assets, personal information may be transferred to the acquiring entity.

5. Data Storage and Security

5.1 Storage Location

Data is stored on Microsoft Azure cloud infrastructure across multiple regions. Primary data centers are located in regions selected to optimize performance and comply with local requirements.

5.2 Security Measures

We implement appropriate technical and organizational measures to protect personal information, including:

  • Encryption of data in transit and at rest
  • Access controls and authentication
  • Regular security assessments
  • Employee training on data protection

5.3 Data Breach Response

In the event of a data breach that may affect your personal information, we will notify affected parties and relevant authorities as required by applicable law.

6. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. When we transfer data internationally, we ensure appropriate safeguards are in place, including:

  • Standard contractual clauses
  • Adequacy decisions where applicable
  • Other legally recognized transfer mechanisms

  • Provide the Platform services

After account termination, data may be retained for up to three (3) months before deletion, unless longer retention is required by law or requested by the Consultancy.

8.2 Correction

You may request correction of inaccurate or incomplete information.

8.3 Deletion

You may request deletion of your personal information, subject to legal retention requirements.

8.4 Objection and Restriction

You may object to certain processing or request restriction of processing.

8.5 Withdrawal of Consent

Where processing is based on consent, you may withdraw consent at any time.

The Platform is not intended for children under the age of 16. We do not knowingly collect personal information from children. If we become aware of such collection, we will take steps to delete the information.

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Platform or sending an email notification. Continued use after changes constitutes acceptance.

13. Data Controller Information

For Users in the Platform:

  • The Consultancy acts as the Data Controller for Customer data processed through their account
  • Humanised Technology Solutions acts as the Data Processor on behalf of the Consultancy
  • Humanised Technology Solutions acts as the Data Controller for account registration and Platform usage data
